Quick Books Implementation Process

Note: Please do not sign up directly with QB Online, because you will not receive the special Archdiocesan rates.

Step 1 - Sign up Process by a Parish/School

  1. Parish/School will call Tricia Wienecke at 410-625-8443 or tWienecke@archbalt.org to begin process.
  2. Parish/School will be asked to complete an interview document.
  3. Parish/School will need to designate a "QB Online Administrator."
  4. Parish/School will be asked to send Fiscal Services a copy of their latest financial reports from their current system.

Step 2 - Customization of Parish/School System Performed by Fiscal Services Staff

  1. Per interview document, Fiscal Services will customize parish/school accounting system. Standard chart of accounts and classes will be pre-set to aid parish/school in their use.
  2. When customization is complete, Fiscal Services will invite the named "QB Online Admin" to begin using the system on July 1.

Step 3 - Training prior to July 1

Group training dates will be arranged during the last three weeks of June.

  • On-line training is always available and a fictional company may be used to practice. Go to: https://accounting.quickbooks.com/redir/buynow?sc=QOE-BYB&buy=y.
  • Primary areas that parish/schools will need to learn:
    • How to log-in and basic navigation
    • How to create a check (need to make sure check stock is ready)
    • How to input bank deposits
    • How to input a journal entry
    • How to run reports

Step 4 - Input of Beginning Balances

Balance sheet information as of June 30, 2006 (or 2007 if implementing in 2007) will need to be entered into the system. Central Services audit staff will assist parishes/schools with this effort.

System Requirements: Windows 95, 98, NT, 2000, ME, or XP; High Speed Internet; Microsoft Internet Explorer 6.0 and above.
